Parallel HR (“we,” “our,” or “us”) is a comprehensive Human Resource Management System (HRMS) developed, owned, and maintained by The Parallel Code. We are committed to protecting the privacy and security of your organization's and employees' data.

1. Information We Collect

To provide our HRMS automation suite, we collect the following types of information when your organization uses Parallel HR:

  • Organization Information: Company name, registered address, billing email, corporate phone number, and tax/GST identification details.
  • Employee Records: Full name, corporate email address, employee ID, phone numbers, designations, date of joining, and salary structure details uploaded by your HR administrators.
  • Attendance & Location Data: Geo-location coordinates (latitude and longitude) captured exclusively when an employee triggers a punch-in or punch-out request within configured geo-fences. We do NOT track location in the background.
  • Leave & Regularization Logs: Applications, approval remarks, and historical leave ledger balances.

2. Data Security & Storage

All customer data is stored securely in ISO 27001 certified cloud datacenters hosted locally within India. We implement standard enterprise security controls including:

  • End-to-end encryption in transit using secure TLS 1.3 channels.
  • Data encryption at rest using Advanced Encryption Standard (AES-256).
  • Regular third-party vulnerability assessments and database access firewalls.

3. Cookies Policy

We use essential session cookies to manage authenticated employee sessions and remember login states. Analytical or tracking cookies are not used within employee self-service panels.

4. Third-Party Integrations

Parallel HR does not share or sell your data. We integrate with secure payment gateways (for subscriptions) and mail servers (to send email-based leave approvals). All third-party sub-processors comply strictly with our data processing agreements.

5. User Rights (GDPR & Indian Compliance)

In alignment with GDPR regulations and the Digital Personal Data Protection (DPDP) Act of India, employees and HR administrators retain the right to:

  • Access, update, or rectify incorrect profile files.
  • Request data portability in standard Excel/CSV ledger formats.
  • Request deletion of employee files subject to statutory payroll preservation guidelines under Indian labor laws.

6. Indian Business Compliance

This policy is governed by and compiled in accordance with the Information Technology Act, 2000 (India), the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023.
